Terms & Conditions of Service
1. Overview
These Terms & Conditions govern all services provided by Fen & Wold Creative Hub (“we”, “us”, “our”). By making a booking, you agree to these terms in full. These terms are designed to ensure a safe, professional, and high-quality experience for all participants.
Our website is hosted on Wix, which provides the platform through which bookings and payments may be processed.
2. Bookings & Payment
2.1 All sessions must be booked in advance via our approved booking channels.
2.2 Payment in full is required at the time of booking unless otherwise agreed in writing.
2.3 Bookings are confirmed only upon receipt of cleared funds.
2.4 We reserve the right to decline or cancel bookings at our discretion prior to confirmation.
3. Cancellations & Rescheduling
3.1 Cancellations made more than 48 hours before the scheduled session may be eligible for a transfer or credit.
3.2 Cancellations within 48 hours of the session are non-refundable and non-transferable.
3.3 Where we must cancel or reschedule a session due to circumstances beyond our control, clients will be offered an alternative date or full refund.
3.4 We do not accept liability for any indirect costs incurred as a result of cancellation.
4. Website Use & Availability
4.1 We aim to ensure our website is available at all times; however, we do not gaurentee uninterrupted or error free access.
4.2 We are not liable for website down time, technical issues, or interruptions caused by third-party providers, including Wix.
4.3 You are responsible for ensuring that the information you provide when making a booking is accurate and complete.
5. Session Experience
5.1 Sessions are delivered with professional care, using high-quality materials and structured guidance appropriate to the age group.
5.2 We reserve the right to make minor adjustments to session content, materials, or instructors where necessary to maintain quality and safety standards.
5.3 Late arrival may result in a reduced experience without refund or extension.
6. Children & Young Participants
6.1 All bookings for participants under 18 must be made by a parent or legal guardian.
6.2 Accurate emergency contact details must be provided prior to attendance.
6.3 Children must be collected promptly at the agreed end time, and child under the age of 5 years must be accompanied by a parent or guardian at all times. Persistent late collection may incur additional charges.
6.4 We maintain clear behavioural expectations to ensure a safe and respectful environment. Where behaviour compromises safety or group experience, we reserve the right to withdraw participation without refund.
7. Health, Safety & Wellbeing
7.1 Participants (or their guardians) are responsible for disclosing any relevant medical conditions, allergies, or additional needs at the time of booking.
7.2 While all reasonable precautions are taken, participation in creative activities carries inherent minor risks.
7.3 We reserve the right to refuse participation where we believe attendance may pose a safety concern.
8. Liability
8.1 We maintain appropriate insurance coverage; however, participation is undertaken at the client’s own risk.
8.2 We accept liability only where required under applicable law and where negligence can be demonstrated.
8.3 We are not responsible for loss, theft, or damage to personal belongings brought to sessions.
8.4 To the fullest extent permitted by law, we exclude liability for any indirect or consequential losses.
9. Clothing & Personal Items
9.1 Our sessions involve the use of professional art materials which may cause staining or damage to clothing.
9.2 Clients are advised to wear appropriate attire. We accept no responsibility for damage to personal items.
10. Photography & Brand Use
10.1 From time to time, we may capture photography or video content for brand, marketing, and promotional use.
10.2 No identifiable images of participants will be used without prior written consent.
10.3 Consent may be withdrawn at any time by written request.
11. Data Protection & Privacy
11.1 We are committed to protecting your personal data and handling it with transparency and care.
11.2 All data is processed in accordance with UK GDPR and applicable UK data protection laws.
11.3 Personal information is used solely for booking management, safety, and essential communication and service delivery.
11.4 Our website and booking systems are operated via Wix, and your data may be processed by trusted third-party providers as outlined in our privacy policy.
11.5 By using our website, you acknowledge that data transmission over the internet cannot be guaranteed to be completely secure.
12. Third-Party Venues
12.1 Sessions may be delivered at carefully selected third-party venues.
12.2 Clients agree to respect and comply with all venue-specific rules and requirements.
12.3 While we partner with reputable venues, we are not responsible for venue facilities, services, or operations.
13. Professional Standards & Conduct
13.1 We are committed to maintaining a calm, inclusive, and respectful environment.
13.2 Disruptive, inappropriate, or unsafe behaviour will not be tolerated and may result in removal from the session without refund.
13.3 We reserve the right to refuse future bookings where conduct falls below expected standards.
14. Force Majeure
We are not liable for failure or delay in performance resulting from circumstances beyond our reasonable control, including but not limited to illness, venue closure, transport disruption, or severe weather.
15. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
